Administrative Assistant Job Description
The Administrative Assistant performs a variety of routine administrative and clerical functions for the site, engaging and interfacing with internal and external customers with regularity. Completes daily assignments under general supervision in support of one or more administrative teams and site leadership team. Performs administrative support functions and assigned projects timely and with a high degree of accuracy, in support of the sites goals and objectives. This position will engage with, and support, site functional groups, including Manufacturing, Quality, Safety, Customer Service, etc. on administrative projects to support efficiency in operations of the site.
Job Core Responsibilities
- Performs routine administrative and clerical functions under general supervision to support administrative, Leadership, Human Resources, and cross-functional teams.
- Completes tasks such as typing, filing, copying, transmitting data, ordering office supplies, scheduling appointments, booking travel arrangements and answering phones.
- Administers and performs daily management of site Visitor system, including entry into the system, verification that invitations have been sent, supporting check-in onsite if pre-registration was not completed, and weekly communication to site on anticipated visitors.
- Sets up meetings and events; manages conferencing by reserving rooms, facilitating conference calls, and addressing scheduling conflicts collaboratively.
- Coordinates meeting and lunch requests, including ordering, set-up, and additional support as required.
- Maintains 6S of reception area, all general conference rooms, and common areas such as office supply locations.
- Coordinates and plans company-wide events including Summer Family Picnic, Holiday Party, annual Physical Inventory meals, and supports other events such as the annual Team Member Appreciation BBQ event.
- Supports Production team members with expense reimbursement profile creation.
- Completes monthly reconciliation of administrative purchases and expenditures, prepares supporting receipts and tracking in Excel.
- Maintains office supplies; checking stock, placing and expediting orders and verifying receipt of supplies.
- Creates and updates organizational charts and phone extension lists.
- Screens incoming calls and correspondence; using independent judgment as needed.
- Operates a variety of standard office equipment in performance of duties; troubleshooting routine problems or initiating service calls as necessary.
- Other responsibilities as assigned.
- Regular, consistent and punctual attendance is required. May need to work variable schedule(s) and additional hours as necessary.
Job Specifications
Education : Secondary Certificate/High School Diploma is required. College degree is preferred.
Years Experience: 2-4 years of relevant experienceSkills
- Demonstrated administrative, reception, and customer service skills, preferably in a fast-paced working environment.
- Strong attention to detail, good organizational skills, and the ability to prioritize with changing situations on a regular basis with a high sense of urgency.
- Ability to recognize and solve typical problems and select solutions from established options.
- Good interpersonal, written and oral communication skills to drive tasks to completion.
- Ability to complete tasks timely and with a high degree of accuracy.
- Strong customer relations skills to support daily interactions and positive engagement with both internal and external customers.
- Proficient in Microsoft Office Suite, including Word for drafting communications, letters, memos; Outlook for email & conference room scheduling and resource management, PowerPoint slide preparation for presentations, and Excel for general reporting and tracking.
- Experience in Visio or similar organizational chart tools is preferred.
- Ability to sit, stand/or walk for extended periods of time.
