Job Summary

Provide company wide Facilities digital software support, handling system admin duties (user management, licensing, setup, site management etc), end user training, troubleshooting and technical support, monthly and on demand reporting, location build outs and general system design. Current state this would apply to our Computerized Maintenance Management System (Asset Essentials) and our space management tool (Office Space), but may include additional Digital Transformation software assets as they come online.

Support the Facility Department with strong computer skills. Process non-PO invoicing, including tracking, payment, follow-up and company/supplier setup. Provide data analysis and reporting for overall department expenses and handle monthly financial recaps and transaction reviews. Provide GL coding and general support for P-card purchases in conjunction with other team members. Develop tools and processes to improve data collection and analysis process.

Support Facilities communication tools including internal Bright Sign tools and Cirrus Hub. Support team on providing innovative solutions to improve existing systems and processes as part of our Digital Transformation initiative, including potential IT implementation and other hardware solutions. Provide implementation level support for Digital Transformation processes as needed.

Produce charts & graphs to summarize data to the facility and management teams. Support data analysis requests from both within the department and for cross departmental support. Support team in developing and maintaining Power BI dashboard with monthly updates covering a variety of facilities topics. Must always have strong attention to detail and able to maintain confidentiality. Must also have effective communication skills, able to work alone while keeping projects moving forward. Problem-solving skills, in addition to being flexible to changing plans in a fast-paced work environment. Develop systems for data collection and organization and identify opportunities to improve processes across all systems.

Duties and Responsibilities/Essential Functions

  • Process departmental invoices, including coding, communicating with suppliers as needed, troubleshooting, approval process and follow up
  • New company setup up and supplier verification along with support documentation
  • CMMS/Work Order Reporting
  • Support monthly financial review process
  • Communications support including internal display content and web content
  • CMMS and Space Management Admin duties
  • CMMS and Space Management end user training
  • Work with Facilities design team to build out and support regular space management tool layout updates and support other related roles
  • Provide technical support and troubleshooting for Facilities systems
  • Design, implement and maintain IoT maintenance sensors project
  • Travel to onboard new locations and sites or otherwise provide support for digital tools and hardware
  • Develop process to integrate invoices and other expenses into our work order system to track project and asset expenses.
  • Develop and maintain Power BI Dashboard with monthly updates on a variety of Facilities topics.
  • Develop and maintain various project and expense tracking systems.
  • Produces quality presentations to explain project initiatives and track project progression conception to completion.
  • Ensures that all assigned work areas are always kept clean, orderly, and presentable always.
  • Wears proper protective equipment during appropriate job functions
  • Complies with all paperwork that governs job duties. May be assigned to different work areas and locations as needed
  • Performs other duties as assigned or directed by the Department, Supervisor, Director or appropriate designee.
  • Flexibility in job tasks is a must for this position due to quickly changing priorities.

Qualifications

  • Two-year college degree or two to five years related experience and/or training; or equivalent combination of education and experience
  • Strong computer skills and ability to learn software programs
  • IT related or similar troubleshooting and support experience
  • Power BI or other equivalent data analytics experience.
  • Basic financial transaction and supplier relationship experience
  • Basic inventory and asset tracking experience
  • Work order management system experience
  • Attention to detail is a priority.
  • Multitasking and triage/prioritization skills for time management.
  • Excellent team player with great people and communication skills
  • Strong customer service skills, preferred customer service experience
  • Drivers license required
