Job Summary

The Administrative Assistant provides essential support to a station or department by handling various administrative tasks. Responsibilities include processing candidate I-9 forms and onboarding, managing incoming and outgoing correspondence, scheduling meetings and appointments, and maintaining records. The role also involves greeting visitors, answering and routing phone calls, compiling reports, and ordering and stocking supplies. Additionally, the assistant handles tasks such as preparing outgoing mail and managing conference room and kitchen maintenance.

Rate: $17 Per hour

Schedule:
Monday to Friday 

Hours:
10:00 am to 2:00 pm

Responsibilities

Schedule conference room meetings, and otherwise relieve officials of clerical work and minor administrative and business details by performing the following duties: 

  • Candidate I-9 and onboarding processing.
  • Reads and routes incoming mail.
  • Locates and attaches appropriate files to correspondence to be answered by supervisor or manager.  Composes and types routine correspondence. Files correspondence and other records.
  • Routes call to appropriate parties and places outgoing calls.  Schedules appointments.  Greets visitors, ascertains nature of business, and escorts visitors to the appropriate person.   
  • Compiles and types reports. 
  • Makes copies of correspondence or other printed matter.
  • May prepare outgoing mail or package orders and maintain supplies, responsible for ordering food for special meetings and maintenance of the kitchen, conference room, and copy/supply room.
Minimum Requirements
  • Associates degree (A. A.) or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Computer literacy utilizing (MS Office applications).
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to read, write, fluently speak, and understand the English language.
Preferred Skills
  • One (1) year of previous experience as an Administrative Assistant or Human Resources personnel. 
  • Bilingual (Spanish).
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of an organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.                                               
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Physical Requirements/Working Conditions
  • Remain in a stationary position 50 of the time.
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.
  • Walk short distances.
  • Reach above and/or below the shoulder.
  • Handle/grasp documents or office equipment.
  • Sit and/or stand for short or extended periods of time.
  • Lift/carry/move objects, files, and documents up to 10 pounds.
  • Work in an office environment using standard office equipment.
  • Talk, listen, and speak clearly on the telephone.
  • Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
