This is a full-time position FLSA-exempt position that reports to the Manager of Ground Operations and will also interact frequently with the Manager of Dispatch, Manager of Crew Services, Director of Operations, and the Director of SOC, as well as others throughout the organization. The Charter Coordinator is responsible for being involved with multiple aspects of charter flights, including, coordination, planning, and execution. The successful candidate will be able to demonstrate a thorough knowledge and understanding of charter operations.
Good communication skills are required, good supervisory and/or leadership skills are required, good/mature judgment, and the successful candidate must be able to exhibit the values and culture of the company while working in a dynamic environment.
- Duties and Responsibilities
The duties of the Charter Coordinator include, but are not limited to:
• Ensuring a copy of required documentation is accounted for to include charter briefings, manifests, load planning documents, and post operations reports.
• Review with the flight crew prior to departure
• Confirm catering is boarded; if boarded – see charter briefing for information
• Verify aircraft has been properly serviced/cleaned
• Upon arrival at pick up location, identify yourself to handling entity as Charter Coordinator
• Request manifest, verify fuel requirements, and request fuel, if needed
• Charter briefings, manifests, load planning documents, and post operations reports
• Oversee on and off loading of baggage by compartment
• Oversee proper loading procedures of aircraft, following EAL CLHM procedures.
• Prepare, sign and deliver aircraft load sheet to the pilots for Weight and balance calculations
• Obtain and provide flight crew with any new flight plan paperwork
• Advise of any potential delays – military driven, weather, aircraft maintenance, etc.
• Coordinate with crew and location ground personnel the boarding of passengers
• Gather fuel slips from military locations and provide to the Accounts Payables department upon return
• Provide COMMs to designated personnel, to include, any pending delays, baggage loading commencement and finalization, passenger loading, door closure and departure
• Provide root cause for any delays incurred
• Be the first person off the aircraft at destination locations to coordinate offloading of passengers and baggage
• Confirm hotel transportation and accommodations during overnights
• Perform aircraft searches after offload and before departure to ensure no items have been left on the aircraft
• Send post operational reports to designated personnel and departments
• Follows Cargo Manifests to secure any overage, shortage or damaged cargo
• Serves as GSC for the aircraft and passengers by implementing necessary safety and security precautions.
• DG/HAZMAT acceptance to assure proper processing of loading, stowage, handling and pilot NOTOC.
• Ensures compliance with ramp service policies and procedures particularly in the areas of cargo handling, fuelers, skycap, security, catering, cleaning and ground handling
Duties during non-flying workdays:
o Coordinate the servicing of your assigned aircraft
o Cleaning of the aircraft
o Ordering and stocking of onboard supplies
o Ensure hangar consumables are stocked and order additional inventories when stock is low
o Coordinate with Inflight regarding required stock check-lists per aircraft
D. Qualifications
• Three (3) or more years of airline ground operations experience in a widebody environment preferred.
• Three (3) or more years of Ramp experience required.
• Extensive travel is required, including internationally. Applicants must have a valid passport and the ability to travel regularly, both domestically and internationally.
• Work requires walking, standing, bending, kneeling, or other such activities that may at times be uncomfortable.
• Strong computer knowledge in Outlook, MS Word, and Excel (intermediate level).
• Ability to work collaboratively with fellow employees and management.
• Detail-oriented and consistently accurate in meeting deadlines and multitasking in a fast- paced environment.
• Excellent oral/written communication skills.
• Pass a two- (2) year drug and alcohol background check, pre-employment drug test, and criminal history records check (CHRC).
• Eligibility to work in the United States of America.
E. Location
As a Load Supervisor, you are considered Home-Based as defined below.
• You can live anywhere within the continental 48 east of Denver. Please note that the cities of Denver and Colorado Springs are acceptable home bases.
• You must designate a home airport that is within 2 hours of surface travel from your home. Your home airport must be served by two major airlines (Delta, American, United, or Southwest) and each airline serving your home airport must have a minimum of 3 flights per day. Several airports are seasonal in nature with increased flying for portions of the year. Should your airport lose frequency you will be asked to move your home base to an airport that meets these criteria.
• Please note, flights on regional feeder airlines such as Envoy or Piedmont that are ticketed under the AA monicker (or United / Delta) are allowed as one of the minimum 3 flights per day.
• We will NOT travel you to or from any other airports. Your travel will start and stop at your designated home base.
• You will be provided your home-based assignment at the time of hire. You may change your home base a maximum of once every 6 months. If you would like to change your home base, a request must be submitted to Human Resources. Upon review of the location and Airport, approval will be determined and officially be provided with an effective date. The request must be made at least 30 days in advance of the desired effective date.
• You are responsible for all parking and ground transportation expenses associated with your home base.
