Let your career take flight by joining our diverse and vibrant team at the leading edge of passenger aviation.We are looking for a Talent Acquisition Platform Performance Manager to join our team as a key player in our ongoing Talent Experience platform evolution and development in the Air Canada Talent Acquisition team. As a Platform Performance Manager, you have a wide knowledge and understanding of the Phenom solution. You will oversee and optimize the integration of Phenom and Taleo processes to ensure seamless recruitment operations. You will be an important bridge between the business, HR and IT teams for systems alignment, performance and compliance. You will assess and recommend improvements for recruitment processes, document new CRM processes, identify challenging changes and solutions for future implementation. You will be key in ensuring that all functional TA teams have the tools and information they need to be successful in their jobs as it relates to the Phenom platform. 

  • Ensure optimal performance of Phenom systems and products, ensure proper implementation and optimization effectively, in a scalable way, respecting set requirements & impact of Phenom processes on existing Taleo processes to ensure smooth operations.
  • Assess potential implications on recruitment processes and provide recommendations for improvements.
  • Document new processes in the CRM that may need to be launched at a future date (such as events), while identifying changes that may be challenging to adapt to.
  • Collaborate with HR and IT teams to ensure alignment and integration of talent systems.
  • Responsible for staying up to date on future Phenom product enhancements and fixes, and communicating them when necessary to the Talent team, ensuring training and adoption of new features 
  • Leads testing of new launches and system enhancements in the Phenom staging environment and ensure successful deployment to production 
  • Ensure training for Phenom platform is up to date and relevant for the team, plan and lead recurring and ad hoc training sessions for current or new features
  • Ensure workflow and process documentation is kept up to date for Phenom platform
  • Liaise with Phenom vendor, AC Legal & Privacy to ensure AI compliance.
  • Perform regular audits of Phenom platform & talent systems to ensure data integrity and compliance, and provide recommendations for improvement and action plan. 
  • Assume Master Administrator access functions related to the Phenom platform, including full visibility of records and access to all system settings, including candidate deletion. 
  • In addition to “Master Administrator” role, responsible for various roles within Phenom platform such as the “IT Administrator”, “Offer Administrator”, and “Privacy Administrator” role within the platform. As “Privacy Administrator”, responsible for processing GDPR requests from career site visitors
  • Act as career site chatbot owner, ensuring responses are up to date and cleaning up stagnant or irrelevant responses
  • Responsible for updates to the visuals of the career site via the CMS function of the Phenom platform
  • Responsible for user access governance including creation and maintenance of Phenom user profiles
  • Track performance of the career site to ensure it is effectively attracting and converting candidates, using appropriate KPIs
  • Create new automations using technical mapping in the tool
  • Manage the company watchlist
  • Assist in defining workflows, functions and configurations within the Phenom environment.
  • Responsible for SSO (Single Sign-On), MFA (Multi Factor Authentication), and other security related efforts
  • Plan for releases and communicate system changes to the users in advance so they understand the changes and how to use it prior to implementation
  • Maintain a holistic view of all business processes and users in the system to understand cross functional impacts with regards to configuration, process, workflow, and reporting.

Qualifications

  • Bachelor’s degree in computer science or similar field, or relevant work experience
  • Previous experience working with a CRM tool, such as Phenom is preferred
  • Experience with an ATS, such as Taleo, is also an asset
  • Experience with tools such as Visio, an asset
  • Demonstrated experience in developing custom objects, workflows, validation rules
  • Ability to identify areas for process improvement and recommend/implement solutions.
  • Enjoy working in a team with a strong collaborative mindset
  • Ability to develop effective relationships with business users and technical staff
  • Passion for solving complex business challenges by utilizing latest technology solutions
  • Highly driven and able to self-manage in a fast paced and quickly changing environment
  • Strong organizational and time management skills
  • Excellent communication skills, oral and written, and ability to create positive working relationships with a team.
  • Able to communicate with both technical and business audiences
  • Familiarity delivering custom application solutions driven by customer needs
  • Critical and analytical mindset when it comes to solutions design and implementation.
  • Interested in understanding the strategic goals and desire to make a significant contribution to business objectives.
  • Resourceful, persistent, passionate, and driven for the overall success of the CRM implementation
