What the position is: 

The Employee Travel Coordinator is responsible for arranging air transportation, hotel accommodations, and ground transportation for team members and employee candidates. This role requires excellent organizational skills, a strong sense of urgency, and the ability to ensure compliance with CommuteAir’s travel policy.

 

Essential functions:

  • Audit all business travel bookings to ensure accuracy.
  • Arrange air transportation, hotel accommodations, and ground transportation for team members and employee candidates.
  • Monitor the travel request queue to ensure timely processing of travel arrangements.
  • Ensure compliance with company travel policy and use of preferred rates.
  • Verify the accuracy of all travel arrangements.
  • Employee profile creation and onboarding and maintaining of the companies travel benefits database.
  • Collaborate with fellow Travel partners & team members to support business operations.
  • Perform additional administrative duties as assigned. 

General requirements & qualifications:

  • Must be 18 years or older and legally authorized to work in the US.
  • High school diploma or general education degree (GED) is required.
  • Travel arrangement experience is preferred, but not required. Experience in a similar travel coordination or administrative role is advantageous.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Familiarity with travel booking systems and tools is preferred.
  • Flexibility in work schedule is required.
  • Strong written and verbal communication skills are necessary.
  • Excellent time management and organizational skills are a must.
  • Demonstrated ability to maintain consistently positive interactions with internal teams and external partners.
  • Ability to prioritize conflicting deadlines with proper escalation of issues as they arise.
  • Initiative-taking approach to problem-solving.
  • Flexible, helpful, can-do attitude with energy and enthusiasm.
  • High level of self-awareness, integrity, emotional maturity, and diplomacy.
  • Self-starter who can work with some autonomy and exercise independent decision-making skills; ability to identify and suggest improvements.
  • Understanding of travel industry trends and best practices.
